We may collect your name, company name, job title, email address, telephone number, collection and delivery details, transport requirements, quotation and job information, correspondence, payment and account information, and technical information generated when you use our website.

 

Purpose of collecting data

We use personal information to respond to enquiries and quotation requests, arrange and manage transport services, provide collection and delivery updates, maintain customer and supplier records, process payments, meet legal and accounting obligations, protect our website and systems, and improve our services.

Drivers, subcontractors and transport partners — to arrange and complete collections and deliveries.

Customers, suppliers, collection points and delivery recipients — where information is needed to coordinate a transport movement.

Technology and service providers — including website hosting, email, customer-management, communications and cloud-storage providers, such as IONOS and HubSpot.

Professional advisers — including our accountants, insurers and legal advisers.

Banks and payment-service providers — to process and record payments.

Public authorities and law-enforcement bodies — including HMRC, courts, regulators or the police where disclosure is legally required or necessary to protect our rights.

We only share information that is reasonably necessary for the relevant purpose. We do not sell personal information to third parties.

 

How long we keep personal information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected.

Enquiries and quotations that do not lead to work are normally retained for up to 24 months after the last contact.

Customer, job, invoice, payment and accounting records are normally retained for six years from the end of the relevant company financial year, or longer where required by law, an insurer, a legal claim or an ongoing dispute.

Driver, subcontractor and supplier records are retained for the duration of the working relationship and afterwards where necessary for accounting, contractual, insurance or legal purposes.

Website and security records are retained only for as long as reasonably necessary to operate, secure and improve the website.

When information is no longer required, it is securely deleted, anonymised or destroyed.

 

Your data protection rights

Depending on the circumstances, you may have the right to:

Access the personal information we hold about you.

Correct information that is inaccurate or incomplete.

Request deletion of your information where there is no lawful reason for us to continue using it.

Restrict processing of your information in certain circumstances.
